Shipping Instructions

Inbound and Outbound shipments have separate requirements according to weight and their status as non-hazardous or hazardous.

General Target / Sample Assembly and Packaging

  • Impact Experiments: Users must prepare all targets prior to arrival according to the DCS Impact Target Fabrication Instructions
    • Optimize all TOBBs. Label TOBB fibers with the target plate number.
    • Assemble (glue into a probe holder) and optimize all interferometry probes
      • Number and bundle PDV probe fibers according to the Target Fabrication Instructions and remove probe assembly prior to shipping.
      • Optimize VISAR probes (if used) and remove probe assembly prior to shipping.
    • We recommend the optimized interferometry probes, all fiber bundles, and the brass target plates with target mounted be separately secured during travel to DCS.
    • Send inbound shipments to DCS, not exceeding 49 pounds per box/case.
    • Users are not permitted to build their samples while onsite. They may perform final target assembly and confirm target parameters while onsite.
      • One day before experiments, users may arrive onsite and are permitted time to reattach target components, confirm fiber throughput, remeasure TOBB distances and target plate thickness, take pictures, and confirm any additional parameters.
      • The DCS does not provide consumables such as target plates, beam-stops, TOBB optics, or interferometry optics. The users must procure their own in advance.
    • The user will be solely responsible for their own targets and all target handling except connecting/disconnecting optical fibers.
    • Safety glasses are required in F030 or when working with solvents.
      • Provide your own or a personal pair may be purchased from the stock room with your APS user account.  Set up your account.
    • As a precaution, users should send extra targets. We recommend building 5 targets for every 4 experiments planned.
  • Transporting Targets/Samples
    • User may arrive to the DCS with their targets/samples and non-hazardous materials.
    • If the user wishes to ship material in advance or separately from their travel, follow the shipping instructions below, based on weight and material..
      • Custom impactors should be shipped to DCS well in advance of experimental time. Please discuss with your POC.
      • Follow the directive below based on weight and material to ship.

Heavy / Large Shipments – Total weight 50 pounds or more*

*Shipments weighing 50 pounds or more to/from the DCS require APS Rigging Sevices and an APS User Account.  The APS User Account must be set up prior to any shipping actions to incur the APS rigging fees. 

Incoming:  

  1. Ensure your APS User Account is created prior to any shipping actions.
  2. Email dcs.admin@wsu.edu: Request shipping from the DCS Manager.
    1. Include your APS User Cost Code and detailed shipping description.
  3. Once approved and you have initiated the shipment to DCS, email the shipment tracking information to dcs.admin@wsu.edu.

Outbound:

  1. Users must complete all packing/shipping activities at the conclusion of experiments, but no later than Noon on the following day.
  2. Provide the following detail to dcs.admin@wsu.edu:
    1. APS User Cost Code (APS Rigging and FedEx freight costs will be charged against your User Cost Code.)
    2. Ship-to address (including any mailstop or reference #) and contact phone #.
    3. Required Delivery Due Date.
    4. Method of FedEx Freight:
      1. Air Freight: 1, 2, or 3-day
      2. LTL Freight Priority
      3. LTL Freight Economy
    5. General Contents of each container and their estimated retail values. (If you do not want declared values/insurance listed on the shipment, please list a $0.00 value.)
      1. This does not need to be a line-item detail – general descriptions are sufficient (i.e. Crate #1: assorted tools and optics, bulk flanges, equipment item w/serial #)
    6. List all hazardous/flammable components of the items being shipped (i.e. batteries (including any internal clock batteries found in laptops and o-scopes), dry ice, flammable solids, misc. hazardous materials)
  3. Once all equipment/contents are crated – do not seal the crates. The ANL shipping department will inspect the crates to ensure they are properly packaged for shipment.
  4. Alert the DCS Administrators that the shipment is ready.

Non-Hazardous Materials – Total weight 49 pounds or less

Incoming:

Non-hazardous samples (including dry shippers without liquid), materials, and tools may be shipped to Argonne, or transported by the user.  Packages should include the return label in contents and be addressed as follows:

  • Shipment weight should not exceed 49 pounds. If  more, refer to the instructions for Heavy / Large Shipments.
  • Include the return label in contents.
  • Setup your APS User Account well in advance of shipping to DCS.
  • To ensure timely arrival to DCS, use overnight delivery at least three days prior to your experiment.
    • Receiving is available Monday – Friday (Except Holidays)
  • Once you have initiated the shipment to DCS, email the shipment tracking information to dcs.admin@wsu.edu.

Outbound:

  • Users must complete all packing/shipping activities at the conclusion of experiments, but no later than Noon on the following day.
  • Affix return label to shipment*
  • Communicate with dcs.admin@wsu.edu – FedEx pick up will be scheduled for you.

*If you do not include return label, provide your FedEx Account Number to dcs.admin@wsu.edu.  Admin will affix a return label and schedule the FedEx pick up for you.

Hazardous Materials

Incoming HazMat:

Users are NOT allowed to bring or ship hazardous substances directly to the DCS.  These substances are materials identified as hazardous by the U.S. Department of Transportation (DOT) or International Air Transport Association (IATA).  Under no circumstances may users transport a nonexempt hazardous material to/from the APS in their own vehicles.

  1. Follow the APS Transporting Hazardous Materials Instructions.
  2. Contact the DCS. The DCS Manager must approve the material via dcs.admin@wsu.edu.
  3. Materials must be documented on the ESAF.

Incoming HE shipments – Supplemental to HazMat instructions:

Prior to shipping: All HE shipments must be pre-approved by APS Safety Personnel.

  1. Email Shane Flood (saf@anl.gov), copying DCS Admin dcs.admin@wsu.edu, and Bldg 46 (lyonsj@anl.gov) with the contents of each pipe. Be sure to include your ESAF # (aka Experiment ID) in your email.
  2. Once Shane Flood provides his authorization to ship, User replies with the tracking information so that APS Safety Personnel can arrange transfer of pipes once on site.

Outbound HazMat & HE Shipping:

Hazardous – both HazMat and HE materials – are required to be shipped through Argonne’s main Shipping/Receiving Bldg 46, requiring DCS Admin to complete an ANL Shipping Order (126-C Form) on behalf of the User.

Prior to site departure, User will provide dcs.admin@wsu.edu with the following details for completing the 126-C Form:

  1. Ship-to address (including any mailstop or reference #) and contact phone #
  2. Required Delivery Due Date
  3. Method of Shipment:
    1. FedEx or UPS Ground
    2. FedEx Freight (1,2, or 3-day Air; LTL Priority; or LTL Economy)
  4. Identification of the hazardous/flammable material including:
    1. Approximate amount
    2. All associated hazards (Explosive, flammable, dangerous when wet, oxidizer, etc.)
    3. Attach SDS for each material

HazMat Return Shipments:

  1. DCS will affix the Shipping Order to the container and request transport to Bldg 46 on behalf of the User.

HE Return Shipments:

  1. Prior to last day of the experiments, User will email Bldg 46 (pereze@anl.gov and lyonsj@anl.gov) and APS Safety Personnel (Shane Flood, saf@anl.gov), with a cc to dcs,admin@wsu.edu requesting an HE packaging inspection appt.
    1. ANL Shipping Personnel will coordinate a date/time with User to complete the packaging inspection prior to the User’s site departure.
  2. DCS Admin will Reply All to the group email, providing the Shipping Order.
  3. User will meet with ANL Shipping representatives to review and package the HE materials.
  4. User will Reply All to group email and request APS Safety Personnel assistance to transfer the HE containers to Bldg 46 for return shipping to user’s home lab.
